Tideway Scullers School Privacy Notice and Consent

Tideway Scullers School ('TSS', 'we' or 'us') are committed to protecting and respecting your privacy. The TSS Privacy Statment sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed by us. TSS is what is known as the 'Controller' of your personal data. Please read the TSS Privacy Statement carefully to understand our practices regarding your personal data and how we willl process it.

The following is a summary of the detailed procedures contained in the TSS Privacy Statement.

Personal data we process about you

We will collect and process your personal data (and have done in the past) when you complete our forms (including, but not limited to, membership application form, parental permission form, sculling course application form and gift aid declaration form) and when you correspond with us by e-mail or otherwise.

The information you give us may include your name, address, e-mail address, phone number, family member details, age/date of birth, gender, weight, and rowing experience and ability. You may also provide us with special categories of data (such as your health/medical conditions) for us to process as part of being a member of the club or participating in one of our sculling courses.

Members of TSS (including Junior members) may be photographed, filmed, or recorded when participating in TSS activities or travelling to or from competitive (regattas/heads/trials) or other off-site events. Such photographs or recordings (whether visual or audio) may be used by TSS or other Internal Third Parties (see the Glossary in paragraph 10 of the TSS Privacy Statement) as part of TSS’s marketing, publishing, communication and other related activities or programmes, in print, on websites, and on social media.

Purposes for processing

We may use your personal data to determine your suitability to become a member of TSS, to process your membership, to provide services to you once you become a member, to create sculling course and entry records, to organise competitions and events, to publish race results in our newsletters, informational and marketing materials, to process any donations/sponsorships you make to the club (including reclaiming income tax on donations) and to seek replies to surveys and questionnaires in order to seek your assistance and/or understand how to provide and/or improve membership services and benefits to you.

We would also like to send you information about TSS which may be of interest to you and to seek your sponsorship in, or donations towards, the club. If you have consented to receiving such marketing communications by ticking the consent section below, you may opt-out at a later date (see “Your Rights” below).

Grounds for processing

We process your personal data (including special categories of data) on the basis that you have provided your explicit consent by ticking the consent section at the end of this privacy notice. You have the right to withdraw your consent to our processing of your personal data if you wish, and if you do wish to do so please email us at dataprotectionmanager@tidewayscullers.com.  Please bear in mind that if you do withdraw your consent, we will stop processing your personal data which will likely mean that we can no longer process your membership and/or sponsorship records and you may therefore not be able to continue being a member and/or sponsor of TSS. 

Disclosure of your information

All the personal data that we hold about you will be processed by club staff and volunteers in the United Kingdom and no third parties will have access to your personal data unless there is a legal obligation for us to provide it, or if we need to protect the rights, property, or safety of TSS, our members, or others.


We retain personal data for as long as we reasonably require it for legal or business purposes. This may include retaining your personal data after you cease to be a member of the club. In determining data retention periods, we take into consideration laws, contractual obligations, and the expectations and requirements of our members and sponsors. Where you consent to receiving our marketing communications, any personal data we use for this purpose will be kept until you notify us that you no longer wish to receive this information (see 'Your rights', below). When we no longer need personal data, we will securely delete or destroy it.

Your rights

You may have the right to access the personal data that we process about you and to request that we correct, amend, or delete it if it is inaccurate or processed in breach of applicable laws. You may also have the right to restrict the processing of your personal data and to data portability. If you would like to request access to correct, amend, or delete your personal data, or exercise any of your rights with regard to your personal data, you can submit a written request to dataprotectionmanager@tidewayscullers.com.

You also have the right to ask us not to process your personal data for marketing purposes. You can exercise your right to prevent such processing by either not consenting to receiving marketing communications in the consent section below, at any time by contacting us at dataprotectionmanager@tidewayscullers.com or, in due course, by clicking on the unsubscribe option at the bottom of our marketing communications.

Changes to our privacy notice

Any changes we make to our privacy notice in the future will be notified to you by e-mail and your consent to our processing of your personal data in accordance with the revised privacy notice shall be obtained. Please review any updates or changes and make sure that you are in receipt of the most up-to-date version of our privacy notice.

We will investigate and attempt to resolve any complaints or disputes we receive regarding the processing of your personal data.
